How to Organize Your Phone (And Free Up Space!)

A flat lay of a smartphone, keyboard, and coffee cup on a desk, symbolizing how to organize your phone.

Ever feel like your phone is just as cluttered as your home—endless apps, thousands of photos, and a storage warning that always seems to pop up at the worst time? Between family schedules, important messages, and a million kid photos, it’s easy for digital clutter to pile up.

But here’s the good news: getting your phone organized doesn’t have to be overwhelming. With a few simple steps, you can clean up your device, free up storage, and set up systems that keep it clutter-free.

How to Organize Your Phone (And Free Up Space!)

Step 1: Declutter Your Apps with the One Home Screen Rule

The fastest way to simplify your phone is to reduce the number of apps on your home screen. Instead of endless scrolling, the goal is to see only what you need when you unlock your phone.

The One Home Screen Rule

  • Keep only essential apps on your main home screen.
  • Move everything else to folders or the App Library (on iPhone) so it’s out of sight but still accessible.

Take It a Step Further with Focus Mode Home Screens

  • Customize home screens based on different activities.
  • Example: A work home screen for weekdays, a family-focused home screen for evenings, and a simplified weekend screen to minimize distractions.

Step 2: Organize & Back Up Your Photos

Photos take up a lot of space, and manually sorting them is a nightmare. Google Photos makes it easy by backing up, organizing, and helping you clear space automatically.

How to Set Up Google Photos for Automatic Backup & Space Saving

  • Turn On Backup & Sync
    • Open Google Photos → Tap Profile Picture → Google Photo Settings → Backup → Toggle ON.
  • Enable “Free Up Space” to Remove Local Copies (Optional)
    • Open Google Photos → Tap Profile Picture → Select Google Photo Settings → Apps & devices → Follow prompts to delete backed-up photos from your device.

Manually Delete Photos If You Prefer More Control

Want more control over how your photos are removed from your phone? Instead of using auto-delete, you can manually clear space by deleting photos yourself. Here’s how:

  • Open the Photos app on your iPhone → Tap Select → Choose photos to delete → Tap the Trash icon.
  • Go to Albums → Recently Deleted and permanently delete them to clear storage.

Other Storage Options

  • Amazon Photos (Free for Prime members, good for extra backups)
  • iCloud Photos (Best if you use multiple Apple devices, but requires paid storage)

I personally use Google Photos because it automatically organizes photos and videos, making them easy to find without manual sorting.

Step 3: Clean Up Your Messages and Notes

Messages and notes can quietly take up a ton of space, especially if you’re in group chats that send a constant stream of photos, videos, and memes.

Messages App

  • Turn on Auto-Delete for Old Messages
    • Go to Settings → Apps → Messages → Keep Messages → Select “30 Days” or “1 Year” instead of “Forever.”
  • Auto-Delete One-Time Passcodes
    • Go to Settings → General → AutoFill & Passwords → Verification Codes → Toggle Delete After Use ON to remove expired sign-in codes.

Other Apps That Need Regular Clearing

  • WhatsApp & Other Messaging Apps: Clear old chats, voice memos, and large files in Settings → Storage & Data.
  • Downloaded Files: Open Files → Recents and remove PDFs or downloads you no longer need.
  • Email Attachments: Check your email app’s storage settings and clear cached attachments.

For a more structured note system, Notion is a great alternative to Apple Notes—it keeps everything searchable and organized without taking up phone storage.

Step 4: Free Up Storage Space on Your iPhone

If your phone is constantly Out of Storage, here are the quickest ways to free up space.

1. Check What’s Taking Up Space

  • Open Settings → General → iPhone Storage to see which apps, media, or system files use the most space.

2. Offload Unused Apps (Without Losing Data)

  • Go to Settings → General → iPhone Storage → Tap any large app → Select Offload App.
  • For automatic offloading: Settings → App Store → Toggle on “Offload Unused Apps.”

3. Delete Cached Data, Large Videos & Old Apps

  • Clear Safari Cache: Settings → Safari → Clear History and Website Data.
  • Find Large Videos: Open Photos → Albums → Media Types → Videos to see the biggest files.
  • Remove Hidden App Storage: Apps like Instagram, TikTok, and Facebook can store gigabytes of cached data that won’t clear on their own.
    • Go to Settings → General → iPhone Storage and tap any large app to check its storage use.
    • Offload the app to clear its cache while keeping your data (Settings → General → iPhone Storage → [App Name] → Offload App → Reinstall).
    • If the app is still taking up too much space, delete and reinstall it.
  • Delete Old Apps: If you haven’t used an app in months, fully delete it instead of offloading.

4. Restart Your iPhone for a Quick Refresh

  • Restarting your phone clears temporary files and cached data that could be taking up space.

Step 5: Automate and Maintain Your Digital Organization

Decluttering your phone once is great, but keeping it organized long-term is where most people struggle. A few simple automations and a realistic declutter routine will stop digital clutter from building up again.

1. Set Up Automatic Backups (So You Never Have to Think About It)

  • Set Google Photos to back up photos automatically.
  • Set iCloud to back up everything except photos (as long as you have them stored elsewhere).
    • If you’re not sure your backups are working, go to Settings → Apple ID → iCloud → iCloud Backup and turn it on.

2. Try a “Low-Effort” Monthly Phone Declutter Day

  • Pick a random day each month—like the 7th or the second Tuesday—to delete unused apps, old downloads, and extra screenshots.
  • Set a recurring calendar reminder so you remember to do it.
  • If once a month feels like too much, even quarterly cleanup sessions make a big difference.

Start Small & Stay Organized

You don’t have to overhaul your entire phone in one day. A few small changes can make a big difference in organizing your digital life.

  • Declutter your apps using the one home screen rule and Focus Modes.
  • Back up and organize photos automatically with Google Photos.
  • Clear out messages, WhatsApp, and downloads that take up space.
  • Free up storage by offloading unused apps and deleting large files.
  • Maintain it easily with a once-a-month phone declutter day (pick a random date so it actually gets done!).

Start small: Take five minutes right now to delete 10 screenshots or offload an app you haven’t used in months.
